PROJECT PROCESS

Every sports facility project benefits from a clear and well‑structured process. At Adsum Sport and Play, our work begins with understanding what each client needs their facility to achieve, how it will be used and what constraints exist on site. This early clarity shapes the design, programme and budget, and ensures that decisions made at the planning stage support the long‑term performance of the facility.

Our expertise lies primarily in project management and the coordination of specialist subcontractors, supported by direct construction capability where required. This approach allows us to bring together the right skills for each stage of the project while maintaining a single point of responsibility.

As our role centres on managing the full process, the tools we use and the way we work on site are an important part of how projects are delivered. We spend time with clients during key stages of construction, resurfacing and maintenance so that progress, challenges and decisions can be reviewed together. Regular site visits, clear communication and hands‑on involvement help ensure that each element of the project is completed correctly and that any issues are addressed promptly. This practical, collaborative way of working is central to how we maintain consistency across all projects, regardless of scale or complexity.

UNDERSTANDING REQUIREMENTS

We begin by establishing what the facility needs to achieve and how it will be used. This includes reviewing site conditions, user groups, performance expectations, planning considerations and long term lifecycle requirements. Early clarity helps ensure that design decisions are appropriate and that the project remains aligned with the client’s objectives.

DESIGN AND PLANNING

Our team works with clients to develop design briefs that reflect the needs of the site and the people who will use the facility. We support projects from initial feasibility through to commissioning, providing guidance on layout, surface selection, drainage, lighting and fencing. Where planning permission is required, we help clients prepare submissions and address common issues such as lighting levels, boundary treatments and visual impact.

For refurbishment projects, we assess the existing facility and identify opportunities to improve performance, safety and usability. This may involve updating layouts, replacing outdated components or adapting the space to meet current standards.

BUDGETING, PROGRAMME AND MILESTONES

Once the design is agreed, we prepare a clear programme that sets out the sequence of works, key inspection points and expected completion dates. We also provide budget options and value engineering where appropriate. Clients are kept informed throughout, with regular updates and opportunities to review progress at defined stages.

CONSTRUCTION

Our construction work is carried out by experienced teams who understand the technical requirements of sports facilities. This includes ground preparation, drainage installation, base construction, shockpad systems, fencing and lighting. We coordinate all subcontractors and suppliers to ensure that each element is delivered correctly and safely.

Our involvement in projects such as Victoria Park in Guernsey and Merchant Taylors’ School reflects our ability to manage complex builds within tight timeframes while maintaining consistent quality.

REVIEWS, CONTROLS AND QUALITY ASSURANCE

Throughout the project, we carry out a series of checks to ensure that each stage has been completed correctly and that the work meets the required standards. This includes inspections of ground levels, drainage performance, base tolerances, shockpad installation and surface quality. We document these checks so that clients can see how the project is progressing and what has been verified at each point.

Regular reviews with the client help confirm that the project remains aligned with the agreed design and programme. Any adjustments are discussed early so that they can be incorporated without affecting the overall quality or delivery of the facility.

FINAL SIGN OFF

Once construction or resurfacing is complete, we carry out a final inspection to confirm that the facility is ready for use. This may include surface testing, lighting checks, fencing inspections and a review of all associated works. Clients are walked through the completed facility and provided with guidance on maintenance, warranties and recommended usage.

Only when both parties are satisfied that the work meets the agreed specification do we complete the formal sign off. This ensures that the facility is handed over in a safe, compliant and fully operational condition, ready for training, competition or community use.

HOW THE PROCESS DIFFERS BY PROJECT TYPE

Although all projects follow the same overall structure, the level of design work, site activity and decision making varies depending on whether the facility is being built, resurfaced or maintained. The sections below outline how each type of project is approached.

CONSTRUCTION

New construction involves the full sequence of design, planning, groundworks and installation. This includes establishing site levels, installing drainage, constructing the base and shockpad, and completing fencing and lighting. Construction projects require the most detailed design input and the closest coordination of trades, as each stage affects the performance of the finished facility.

During construction, we work with clients to confirm the intended use of the facility, expected hours of play, maintenance capacity and long term lifecycle expectations. These factors influence the choice of surface system and the supporting infrastructure. Once the build is complete, the facility is commissioned and handed over with guidance on maintenance and usage.

SELECTING THE RIGHT SURFACE

Surface selection is an important part of new construction. Options include 3G turf for football and rugby, Gen 2 and sand dressed systems for hockey, and macadam, polymeric or acrylic surfaces for multi sport areas. We help clients assess which systems are suitable for their programme, budget and long term maintenance requirements.

RESURFACING

Resurfacing focuses on renewing the playing surface while retaining the existing base and infrastructure where possible. The process begins with a condition survey to assess the shockpad, drainage and surrounding elements. Old surfaces are removed using specialist equipment and replaced with new systems that meet current standards.

Resurfacing also provides an opportunity to make improvements to a facility and is not restricted to the surface. Adjusting layouts or upgrading fencing and lighting is also possible within these works. The programme is typically shorter than new construction and is often scheduled during school holidays or other limited operational windows. Recent projects at English Martyrs Catholic School, Paignton Academy and Bishops Stortford College show how resurfacing can extend the life of a facility while improving overall performance.

MAINTENANCE

Maintenance is an ongoing process that supports the long term performance and safety of sports surfaces. Planned maintenance programmes include brushing, decompaction, sand redistribution, cleaning and minor repairs. These activities help maintain drainage, surface consistency and compliance with recommended standards.

Maintenance programmes are tailored to the age, condition and usage of each surface. We also provide reactive support for accidental damage or vandalism, and supply equipment for clients who prefer to manage routine tasks in house. Effective maintenance helps delay the need for resurfacing and protects the investment made in the facility.
